Club Administrators,

All Club Administrators should thoroughly read and understand the first document on the Forms / Templates page.

Coming in the next couple of months will be the Competition Management Instructions which will detail the scoring and schedule management system that the NCYRA will be using in the coming season. High School Divisions scoring, standings, and match results will all be published on the site with the help of the Club Administrators.

With regard to Club and Player/Coach registration, only Club Administrators, not individual Players and Coaches, can register their Club, Players, Coaches, Administrators (volunteers) to the NCYRA Competition Management (registration) System (CMS). NCYRA Clubs, Players and Coaches will only be registered on this NCYRA site, not the USA Rugby (USAR) site. All USAR annual CIPP Dues and Club Fees will be paid through the NCYRA site.

PRIOR TO REGISTERING YOUR CLUB, PLAYERS & COACHES

The Club Administrator needs to acquire a Login and Password for the CMS before they can register their Club or Players and Coaches. The NCYRA issues this information. This Login and Password are confidential and must be kept in the strictest confidence, otherwise others can login to the system and change your Club information and possibly corrupt the information.

Club Administrators must fill out the NCYRA Club Information Form on an annual basis and e-mail it to staff@ncyrugby.org or fax it to (707) 693-8801. This form is critical so that the NCYRA has the latest information on the Club.

New Clubs – Form Required. New Clubs cannot register without filling out the NCYRA Club Information Form. Once this form is filled out and received by the NCYRA the Club will be added to the list of NCYRA Clubs on the website and with USAR. A new Club cannot register on the NCYRA site until this form has been received and a USAR Club ID has been issued by USAR. This takes several days. Once the USAR Club ID is issued, then the Club Administrators can register the Club, Players, Coaches, etc.

The Club must first be registered prior to registering any Players or Coaches. The annual USAR Club Fee is $150, and will be collected by the NCYRA. All Clubs will be charged this fee, regardless of the number of Clubs that NCYRA pays for to USAR.

There are three ways to pay for registration and other dues/fees off the CMS:
  • Automatic Debit (Fastest, easiest and most cost effective. Requires filling out and sending the Direct Payment Authorization form, in the Forms/Templates page of the website)
  • Credit Card (fast and easy, but adds a 3% transaction fee charge)
  • Check (sent to NCYRA, and can result in delays of up to two weeks)
